LONDON, Mar 7, 2015 - (ACN Newswire) - "Many employees in today's fast-paced workforce work in a reactive rather than proactive manner," according to Rob Breaden, NSW & ACT Sales Manager, Priority Management Australia. "The Inbox has become the default To-Do list for most people, and tends to drive their day. Instead of focusing on the most important things to do, most people clear out the "easy" items from their Inbox, then pick a task to complete. They then return to the Inbox to see what else they had to do, but immediately react to the new emails that have come in - and so the circle continues."

Breaden explains: "People sub-consciously live their life in default. The default for Outlook (and other email clients) is to open to the Inbox, rather than to the Calendar, which would make people more proactive as they would start their day focused on what they have committed to. Receiving an alert every time you get a new email - another default - destroys concentration levels by constantly interrupting people. Worse, the defaults of most smartphones and tablets are designed to notify us of everything, which is beginning to impact negatively on our personal lives."
A delusion held by many is that we can accomplish everything that lands in our Inbox or on our desk. "Instead of trying to accomplish absolutely everything, people need to focus on the "big rocks" and be more selfish with their time. In today's work environment, if you do not manage your time, someone else will. Taking control means focusing on what is important (personally and professionally), and proactively managing your time to complete only the tasks that add value."
Breaden finds that when people feel in control, stress decreases and productivity increases. "Happy, healthy, fulfilled employees are more productive. Simply working longer is not effective or sustainable in the long term; for greater productivity and for our own health, it is critical that we learn to work smarter," he suggests.
"Today's workplace is increasingly about collaboration, for which email is not an effective communication medium. Companies will need to find more efficient ways for teams to get together as collaboration will be key in the future. There will be a rise in the number of "virtual" meetings and collaboration tools such as Yammer and SharePoint. However, these tools will only be effective if people are taught how to use them effectively. If employees do not have efficient processes in place to manage their over-flowing Inbox, adding another Inbox, such as Yammer, will add to the problem rather than fix it."
Most workplaces seem to expect new tools and technologies to magically raise productivity, but studies show that despite major recent developments in technology tools, productivity has not risen. In Australia, it has declined.
"HR should focus more on providing employees with the skills and, more importantly, best practice processes to leverage these new tools," Breaden says. "The assumption is that people are more tech savvy nowadays and can figure new technology out with minimal training; our experience is that this is not the case, and most people will again slip in to default mode. Millions of dollars are spent on new technology tools every year, with only a tiny fraction invested in teaching people how to use them effectively."
Breaden concluded: "HR directors need to focus on employee psycho-social welfare and provide them with the right tools and guidance to give them the confidence to take ownership of their growth. Stress related illness and compensation claims are on the rise. It is not sustainable for people to work harder and harder with less resources. New technology and tools can help boost productivity only if employees know how to use them effectively. Providing a workplace culture with flexible working arrangements that is supportive, encourages innovation and is free of discrimination are the critical factors to reverse the trend of stress related illness in the workplace."
